Terms and Conditions for Digital Innovators Holiday Camp Bookings

Terms and Conditions

1. Definitions

  • Camp: Refers to the holiday camp provided by Digital Innovators[1]
  • Parent/Guardian: The individual making the online booking for a child.
  • Child: The individual attending the holiday camp as named in the booking.
  • Booking: The reservation made by the Parent/Guardian for the Child’s attendance at the camp.

2. Booking and Payment

  • All bookings must be made online via our official booking system.
  • Bookings will be confirmed by email once full payment is received.
  • Payments can be made via debit/credit card, bank transfer, or approved childcare vouchers
  • A place is not guaranteed until full payment has been received.
  • All fees must be paid prior to the commencement of the camp

3. Cancellations, Changes, and Refunds

  • You may cancel or change a booking subject to notice periods specified below:
  • Amendments or cancellations made 14 or more days before the start of camp may be eligible for a refund or credit, minus an administration fee
  • Bookings cancelled less than 7 days prior to camp may not be eligible for a refund, except under exceptional circumstances (e.g., medical emergencies with proof).
  • Requests to change dates are subject to availability.
  • The camp reserves the right to cancel a session in the event of insufficient bookings, staff shortages, or unforeseen circumstances (such as force majeure events). In such cases, a full refund or alternative dates will be offered.

4. Medical, Health, and Safety

  • It is the Parent/Guardian’s responsibility to provide up-to-date medical information and any special needs or allergies during booking and prior to camp start.
  • The camp reserves the right to exclude any child deemed unfit or unwell to participate for health and safety reasons.
  • Emergency contact details must be provided and kept up to date.

5. Camp Rules and Behaviour

  • All children are expected to adhere to the camp’s code of conduct.
  • The camp reserves the right to exclude any child whose behaviour is deemed unacceptable, with no refund due for missed days caused by exclusion.

6. Collection and Drop-off

  • Children must be signed in and out by a designated Parent/Guardian or authorised adult each day.
  • Late collection may be subject to additional charges if greater than 30 mins late.

7. Liability

  • The camp takes all reasonable steps to ensure safety but will not be liable for loss or damage to personal property brought to the camp.
  • The camp’s liability for any direct loss or damage is limited to the total fee paid for the booking, excluding injury caused by negligence.

8. Photography, Filming, and Media Consent

·       During the camp, we may capture photographs, video, and audio recordings (“Media Material”) of activities and participants for the purpose of promoting the camp on social media, our website, printed materials, and, where appropriate, in radio and television coverage.

·       You will be given the option at registration to indicate your consent, on behalf of your child, for their image and/or audio to be used in such Media Material.

·       We collect, store, and use such Media Material in strict accordance with UK data protection law, including:

o  Obtaining clear and specific consent for the use of images and recordings of children.

o  Ensuring that any photograph, video, or audio recording is used sensitively and securely, and only for agreed purposes.

o  Not permitting the use of children’s names, or any other identifying information, alongside their images unless explicit additional consent is obtained.

o  Allowing you to withdraw this consent at any time by contacting us in writing; upon withdrawal, we will cease further use of your child’s image/recording and will remove them from future materials wherever reasonably possible.

·       Media Material will not be shared with third parties except for the agreed purposes (e.g., legitimate media outlets covering the event) and will be stored securely.

·       We adhere to government guidance and best practice on safeguarding children when collecting, storing, and publishing images and recordings.

If you do not provide consent, we will take all reasonable measures to ensure your child is not included in promotional Media Material or positioned away from cameras and recording equipment.

9. Data Protection

  • All personal information is collected and handled in accordance with our Privacy Statement and UK data protection legislation (e.g., UK GDPR)

9. Acceptance of Terms

  • By completing an online booking, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
  • These terms may be updated from time to time; the version in effect at the time of booking will apply.
